Bookings and Deposit
A booking is made when the customer returns a completed booking form to Zephyr Events Ltd and makes a deposit payment as invoiced. Your Coed Wedding booking is then confirmed between Zephyr Events Ltd and you, the customer.
Deposits and Payments
The customer shall pay the fees relating to the booking by installments according to the following schedule:-
First invoice issued at the time of booking: -
Deposit – 1st installment which includes booking fee20%
Second invoice due 9 months before wedding date: -
2nd installment 40%
Third invoice due 3 months before wedding date:-
The deposit which includes the booking fee becomes due when the booking form is completed. All invoices include VAT at the applicable rate on the day of invoice.
If you book your wedding less than 12 months before your wedding date then the deposit and appropriate installments will be due with the booking form.
Cancellation by the customer
If the customer cancels within 14 days of making the first payment a full refund will be issued.
In the event that the Customer cancels the wedding more than 14 days after the first payment then the business is entitled to make a cancellation charge sufficient to cover losses that directly result from your cancellation.
If this cancellation occurs more than 9 months before the wedding date the cancellation cost will be 20% of the total wedding fee to cover losses incurred. Zephyr Events Ltd will take all reasonable steps to resell the wedding date in which case the cancellation charge will be refunded minus any costs already incurred and a 10% administration charge.
If this cancellation occurs between 9 and 3 months before the wedding date the cancellation cost will be 60% of the total wedding fee to cover losses incurred. Zephyr Events Ltd will take all reasonable steps to resell the wedding date in which case the cancellation charge will be refunded minus any costs already incurred and a 10% administration charge.
If the Customer cancels 3 months or less before the wedding date the cancellation cost will be 100% of the total wedding fee to cover losses incurred. Zephyr Events Ltd will take all reasonable steps to resell the wedding date in which case the cancellation charge will be refunded minus any costs already incurred and a 10% administration charge.
Following any cancellation by the customer Zephyr Events Ltd will make every reasonable effort to rebook the cancelled wedding date to another couple.
Cancellation by Zephyr Events Ltd
Zephyr Events Ltd may be prevented from carrying out its obligations under these terms and conditions in relation to a Coed Wedding booking by circumstances beyond their reasonable control (including but not limited to government intervention, strikes, labour disputes, accidents, acts of God, national or local disasters, war, damage to the Venue, loss of services such as electricity gas or sewage weather fire or failure of sub-contractors or suppliers), in which case Zephyr Events Ltd shall notify the Customer in writing of the need to transfer your hire date.
In the event we have to transfer your hire date due circumstances beyond our reasonable control we will offer the first transfer to an alternative date for free. If further transfers are requested due to ongoing restrictions, this will incur a fee of £1500 to cover our costs, business loss and annual inflation.
If you choose not to reschedule your Coed Wedding booking Zephyr Events Ltd will refund you your payments to date having subtracted the following:-
The booking fee
An administration fee of 25%
Changes to booking
Any changes to the booking after the quote has been accepted will incur further charges and payment must be finalized before service date, otherwise we cannot confirm we will be able to provide the additional service expected.
Damage and breakages
The company reserves the right to charge the hirer for any breakages, damage or spillages incurred to the venue whilst under hire. In the event of damage to the venue due to negligence by the hirer or hirer's party, the hirer is liable for all repairs.
Health and safety
Coed has the right to change the facilities, services or accommodation offered on site in keeping with current Health and Safety regulations and Fire Safety standards of which we are legally obliged to consider and adhere to. Zephyr Events Ltd will always offer an alternative if this case arises.
The company operates a strict no smoking policy inside the venue and all of the onsite accommodation. Smoking is allowed outside in the surrounding gardens but please dispose of any cigarette butts respectfully for the sake of the surrounding wildlife.
There is a strict “no use” policy on fireworks or Chinese lanterns being used onsite due to the sensitivity of the surrounding woodland, farmland, wildlife and cattle
Guests must be respectful of our neighbours and residents at Coed and we request that noise levels are reduced after midnight.
Our staff will not tolerate abusive behavior from guests and have the right to escort clients off the premises when necessary. This may include but are not limited to drunken violence and racial or religious abuse.
As this is also a working environment, we request that the guests keep to the designated areas as much as possible and do not wander into restricted areas due to dangerous machinery and equipment being onsite.
An adult should accompany children at all times whilst on the premises. Zephyr Events Ltd cannot be responsible if a child wanders into restricted areas as described above.
The small parking area closest to the venue is reserved for disabled guests, Registrars and emergency vehicles only.
Please advise all guests to use the main car-park in the top field on arriving at Coed so access is not restricted in the event of an emergency.
At Coed we passionately believe in a zero-waste approach to events and on booking you are agreeing to our zero-waste policy of which is attached with your booking confirmation. Please do not be offended if we challenge your waste generation or leftovers as it enables us, and you, to take responsibility of our own eco footprint.
